Microsoft Copilot

Microsoft 365 Copilot, Copilot Studio and Copilot Cowork: what they are, how they fit together and how to get real value from them.

“Copilot” now covers a lot of ground. This guide cuts through the naming, explains each product in plain English, and shows what it takes to move from switching Copilot on to actually using it.

The short answer

What is Microsoft Copilot?

Microsoft Copilot is Microsoft's family of AI assistants. It uses large language models to help people write, summarise, analyse, research and complete tasks, with business versions that work securely with your own company data.

For most organisations, that means three things: Microsoft 365 Copilot, the assistant built into Word, Excel, PowerPoint, Outlook and Teams; Microsoft Copilot Studio, the platform for building custom AI agents; and Copilot Cowork, an agent that carries out multi-step work on your behalf.

Which Copilot?

The Copilot family at a glance.

Part of the confusion is that Microsoft uses the Copilot name for many different products. Here's how the ones that matter to most businesses compare.

You may also hear about the consumer Copilot app, GitHub Copilot for developers, Security Copilot and Copilot in Dynamics 365. They're separate products. This guide focuses on the ones most businesses use day to day.

Product 1

Microsoft 365 Copilot

Microsoft 365 Copilot brings generative AI into the apps your team already uses. Instead of starting from a blank page, people can describe what they need and Copilot drafts, summarises, analyses or organises it, using the emails, meetings, chats and files they already have access to.

That grounding in your own work data is delivered through Work IQ, the intelligence layer Microsoft uses to help Copilot understand your work context. It's what separates Microsoft 365 Copilot from a general-purpose chatbot.

  • Word: draft, rewrite and summarise documents, with agent-style editing and source citations.
  • Excel: explore data, build formulas and analyse trends in plain English.
  • PowerPoint: turn documents and notes into structured decks and keep formatting consistent.
  • Outlook: triage your inbox, draft replies and prepare for meetings.
  • Teams: meeting summaries, action items and catch-up on conversations you missed.
  • Researcher and Analyst agents: built-in agents for multi-step research and data analysis.
  • Notebooks and Agent Builder: organise projects with Copilot, and create simple personal or team agents.
  • Choice of models: Microsoft 365 Copilot supports models from more than one AI provider.

Product 2

Microsoft Copilot Studio

Where Microsoft 365 Copilot is an assistant for individuals, Copilot Studio is a workshop for building your own agents. It's a low-code platform, and the successor to Power Virtual Agents, for designing, managing and publishing agents that do a specific job.

Agents can be grounded in your own knowledge sources, connected to your systems and workflows, and kept within boundaries you define. Think of an HR policy assistant, a customer enquiry agent or an agent that starts an approval process when someone asks.

  • Conversational agents: answer questions and guide people through tasks in natural language.
  • Autonomous agents: triggered by events, such as a new email or record, rather than a person.
  • Connected to your systems: use connectors, Power Automate flows and standards such as MCP to reach other tools and data.
  • Published where people work: channels include Teams, SharePoint, websites and, more recently, WhatsApp and voice.
  • Governed: identity, access and oversight controls, including Microsoft's Agent 365 governance layer.

Pricing in brief

Copilot Studio is consumption-based, measured in Copilot Credits, with usage depending on what an agent does. Internal agents used by people who already hold a Microsoft 365 Copilot licence are often covered, whereas customer-facing and autonomous agents generally consume credits.

Where RorTech helps

This is exactly what RorAgent is for. We design and build Copilot agents around your processes, with governance built in, then support them after launch through RorAssure.

Product 3

Microsoft Copilot Cowork

Copilot Cowork is the newest part of the family, and a significant step from AI that answers to AI that acts. Announced in March 2026 and generally available worldwide since June 2026, it lets you describe an outcome and hand the task over. Cowork turns the request into a plan, then works through it across your Microsoft 365 apps and files.

It was built in collaboration with Anthropic and draws on Work IQ for context. Examples Microsoft describes include preparing a full meeting pack from emails, meetings and files, compiling company research, and managing calendars and cross-team workflows.

  • You stay in control: Cowork pauses for approval before it sends messages or applies changes, and its actions are visible and auditable.
  • Works in the background: tasks run in the cloud, so they can continue when your device is off.
  • Inside your security boundary: it follows your existing Microsoft 365 identity, compliance and governance controls.
  • Licensing: it requires a Microsoft 365 Copilot licence, is off by default, and usage is metered in Copilot Credits.

Because Cowork can take real actions, the groundwork matters more than ever: clean permissions, clear policies and people who know when to review and when to trust.

Where RorTech helps

We help you decide where Cowork is worth switching on, who should have it and how to govern it. Start with a Strategy Day to identify the best use cases, or an assessment through RorAssess to check you're ready.

Our workshops and AI Risk Awareness Training help teams use agentic AI safely.

How they fit together

One platform, three levels of capability.

1

Assist

Copilot Chat and Microsoft 365 Copilot help individuals work faster inside the apps they already use.

2

Specialise

Copilot Studio lets you build agents for specific processes and teams, so common questions and tasks are handled consistently.

3

Delegate

Copilot Cowork takes on multi-step work end to end, with you approving the important steps.

Most organisations start at level one, prove value, then add agents and delegation where the return is clearest. Skipping straight to the advanced tools without the foundations is the most common cause of disappointing results.

Licensing & cost

What does Microsoft Copilot cost?

There's no single price, because Copilot is sold in several ways. Microsoft has also changed Microsoft 365 and Copilot pricing and bundles several times in 2026, so figures quoted online often go out of date quickly. What stays constant is the shape of the licensing:

  • Copilot Chat is included with eligible Microsoft 365 subscriptions.
  • Microsoft 365 Copilot is a per-user add-on, requiring an eligible Microsoft 365 plan underneath it.
  • Copilot Business is a Copilot option for organisations with up to 300 users, available as an add-on or in bundles with some Microsoft 365 Business plans.
  • Copilot Studio and Cowork are metered using Copilot Credits, based on what agents and tasks actually do.

The headline price is rarely the real cost. Training, readiness work and credit usage all matter. We give you a clear all-in view before you commit, and we can supply the licences through our Marketplace.

Avoid paying for shelfware

The most expensive Copilot licence is the one nobody uses. Rolling out in phases, with champions and clear use cases, keeps spend tied to value.

Security & governance

Is Microsoft Copilot safe for business data?

What Microsoft provides

Microsoft 365 Copilot and Cowork work within your existing Microsoft 365 identity, security and compliance boundaries, and respect each user's existing permissions.

What that means in practice

Copilot can surface anything a user already has access to. If files are overshared or permissions are messy, Copilot makes that visible fast, which is a risk if nobody has checked first.

Where problems actually come from

Usually not the technology, but unmanaged “shadow AI”, unclear policies, poor data structure and staff who haven't been told what's acceptable.

How we approach it

We review permissions and data readiness first, set practical policies, train staff on responsible use and put governance around agents before they scale.

We'll tell you honestly.

Get in touch

Microsoft Copilot is Microsoft's family of AI assistants. For businesses, it mainly means Microsoft 365 Copilot (AI inside Word, Excel, PowerPoint, Outlook and Teams), Copilot Studio (a platform for building custom AI agents) and Copilot Cowork (an agent that completes multi-step tasks for you). There's also a free Copilot Chat for eligible Microsoft 365 users.

Copilot Chat is the free, web-grounded AI chat included with eligible Microsoft 365 subscriptions. Microsoft 365 Copilot is the paid add-on that also works across your work data (emails, meetings, files and chats) through Work IQ, and works inside your Microsoft 365 apps.

Copilot Studio is Microsoft's low-code platform for building, managing and publishing custom AI agents. It's the successor to Power Virtual Agents. Agents can answer questions from your knowledge, trigger workflows and be published to places like Teams, SharePoint and your website.

Copilot Cowork is a capability within Microsoft 365 Copilot that lets you hand off a task by describing the outcome you want. It builds a plan, then works through it across your Microsoft 365 apps and files, pausing for approval before it sends messages or makes changes. It was built in collaboration with Anthropic and became generally available in June 2026.

Yes. Microsoft states that Copilot Cowork requires a Microsoft 365 Copilot user licence. Cowork is off by default, and usage is metered using Copilot Credits, so it's worth planning how you'll control it before switching it on.

Pricing depends on your Microsoft 365 plan, your organisation's size and any bundles or promotions running at the time, and Microsoft has changed prices several times in 2026. For organisations with up to 300 users there is a Copilot Business option. We confirm current UK pricing for your situation, so you know the real all-in cost before you commit.

Microsoft 365 Copilot works within your existing Microsoft 365 security, identity and compliance boundaries. That also means it can surface anything a user already has access to, so oversharing and messy permissions are the real risk. We review permissions and governance before rollout.

It helps a lot. Copilot is only as good as the content and permissions behind it. A readiness review finds the biggest problems (duplicated files, overshared sites, unclear ownership) so you can fix them before they cause trouble.

No, they do different jobs. Microsoft 365 Copilot is an assistant for individuals across their apps. Copilot Studio is for building purpose-built agents for specific processes, such as an HR policy assistant or an enquiry-handling agent.

Copilot Credits are the consumption unit Microsoft uses to meter agent activity, including in Copilot Studio and Cowork. The number used depends on what an agent does, not how many people use it. Many internal scenarios for users who already hold a Microsoft 365 Copilot licence are covered, while external-facing and autonomous agents generally consume credits.

Switching it on is quick. Getting value from it takes longer, because it depends on readiness, training and use cases. A focused programme can show results within weeks, and wider adoption continues as people build the habit.

Yes. Through our Marketplace we supply Microsoft licences, and we'll advise on the right plan and number of seats so you're not paying for licences nobody uses.

Start with a readiness assessment or a Strategy Day to find the best use cases and any data or security fixes. Then run a small, well-supported pilot with real users before expanding.

Make Copilot work for your business.

Whether you're weighing up your first licences or ready to build agents, we'll help you choose the right Copilot, set it up safely and get your team using it.
